FOR OFFICES & PUBLIC COUNTERS

An orderly front desk,
without a token machine.

Visitors scan a QR code, choose why they’re visiting and get a digital token with a live wait time. Your counters call the next token, and a TV shows who’s being served. No ticket printer, no paper slips and no long standing lines.

CHALLENGES WE SOLVE

Front-desk problems, solved

Long standing lines, people unsure which line they’re in, and paper token machines that jam or run out of slips. qWisely gives every visitor a clear, fair place in line.

THE PROBLEM

Long lines of people standing for hours

With qWisely: Visitors join by scanning the QR code and can sit down, step out or run another errand. Their phone shows a live position, so they don’t need to stand in line to keep their place.

THE PROBLEM

Costly token machines and paper slips

With qWisely: Tokens are issued on the visitor’s own phone. For visitors without a phone, your front desk adds them as a walk-in and tells them their token number. There’s no hardware to buy.

THE PROBLEM

Visitors unsure which counter to go to

With qWisely: When a counter calls the next token, the visitor’s phone tells them which counter to go to. The display board on any TV shows every counter’s current token with a chime.

THE PROBLEM

“How long will this take?”

With qWisely: Each visit type has a typical time, so visitors see a live estimated wait based on the visits ahead and how many counters are open. It learns from your real service times.

THE PROBLEM

Visitors not present when called

With qWisely: Skip them so the next one or two visitors go first. They keep their place and are notified. After two skips, mark them as a no-show and keep the line moving.

THE PROBLEM

No visibility into rush hours

With qWisely: Insights show your busiest hours and days, average wait and how long each visit type takes. Use them to decide how many counters to open and when.

STEP-BY-STEP SETUP

Set up your front desk in six steps

Banks, offices, college admin desks and public service counters can be ready in a few minutes. Here is a typical setup.

  1. Create your account and add your office

Sign up with your email, then enter your office or branch name and address. Only your staff need accounts. Visitors never do.

Do different departments serve different requests? Add each department as its own business with its own QR code and queue.

  2. Add your counters as service points

Add a service point for every counter or desk that serves one visitor at a time. Visitors are told this name when they’re called.

Opening fewer counters today? Switch the others off so wait times stay accurate.

  3. List the reasons people visit

Add the visit types people choose from when they join. The time is used for wait estimates. A fee is optional and is shown to visitors.

    General enquiry3 min—
    Document submission8 min—
    New application15 min—
    Certificate collection4 min—
    Payment / fees5 min—
    Account opening20 min—

Keep the names short and familiar. Visitors pick from this list on their phone.

  4. Give your counter staff their own login

From the Team page, add your counter staff with their own email and password, and choose what each person can do.

    • Counter staff: “Manage queue”, tied to their own counter, so “Call next” sends the visitor to them.
    • Front-desk officer: “Manage queue” for the whole office, to issue walk-in tokens and handle skips.
    • Branch head: “View insights” to follow wait times and rush hours.
  5. Put up your QR code and token display

Print your QR code for the entrance, the enquiry desk and the waiting area. Open the display board on a TV so everyone can follow the tokens.

    • The display board shows every counter’s current token and plays a chime when a new visitor is called.
    • It works in any browser, on a smart TV, an old laptop connected to a screen, or a tablet.
  6. Run the day from the dashboard

Each counter uses the dashboard on its computer or a phone.

    • “Call next” finishes the current visitor and calls the next one to that counter.
    • Issue walk-in tokens for visitors without a smartphone and tell them their number.
    • Set the office to “On break” at lunch, and “Closed” at the end of the day to stop new joins.

GOOD TO KNOW

Questions front desks ask

Do we need to buy a token machine or any hardware?

No. Visitors use their own phones, staff use any phone or computer, and the display board runs in any browser on a TV or tablet.

What about visitors without a smartphone?

Your front desk adds them as a walk-in from the dashboard and tells them their token number. They can follow it on the display board.

Can certain counters handle only certain requests?

Within one queue, any free counter calls the next visitor. If departments handle different requests, set up each department as its own business with its own QR code.

Can we serve senior citizens or priority visitors first?

Yes. Use “Call now” on any waiting token to serve that visitor right away. Everyone else keeps their place.

Do visitors have to share personal details?

No. Visitors only pick a visit type. Their name is optional.
